QR Code Attendance for Calendar Events

As an trainer, while creating a calendar event, you can enable attendance via QR code  (if it enabled on your Teamie site). Enabling the attendance via QR code will generate two different QR Codes for check-in and check-out. Learners will need to scan these code to mark themselves as present for this event.

Creating a Calendar Event with QR Code Attendance Enabled

As an instructor/trainer, while creating a calendar event, you can enable attendance via QR code  (if configured on your Teamie site). Enabling the attendance via QR code will generate two different QR Codes for check-in and check-out. Learners will need to scan these code to mark themselves as present for this event.

2. Tick the Attendance via QR code checkbox.

3. Once you enable the  'Attendance via QR code' setting, you will also have the option to assign material to open after scanning Check-Out QR code. Ticking this checkbox will allow you to assign a published material from the classroom and the learners will be redirected to the selected material after scanning the checkout QR code.

4. Ticking the checkbox will open the list of published materials in the classroom.

In case multiple calendars are selected to add the event, materials common to those classrooms will be listed.

5. Select the required material and click Attach to attach the material to be opened after learners scan the checkout QR code.

6. Click Create Event to create the calendar event and add it the selected classrooms' calendar(s). A confirmation notification will appear once the event is created.

7. Once the calendar event is created, you can open it by accessing it from the Calendar Events or the Calendar full view.

8. Once you open the calendar event, click View QR codes.

9. Check In QR code will be shown. Click Check Out to view the check out code.

10. You can click the Download link for the respective QR codes to open in new tab and download them. Share the QR codes with the learners for them to scan the QR codes from the Teamie app and mark their attendance. As an trainer, you will be able to view the total attended duration based on the QR code scanning.

In case a calendar event has been created with QR code enabled, then while editing the event you cannot edit the generated QR codes or any optional material that you have assigned to be opened after scanning the Check-Out QR code.

Viewing and Updating QR Code Attendance for Calendar Events

As an instructor, you can view the QR code attendance marked by the learners, i.e, the time when the check in QR code and check out QR code was scanned by learners for a calendar event. Take note that check out attendance can only be marked after the check in has already been done.

You can also mark attendance for learners in the following scenarios:

1. If the event has passed and learner has not marked the attendance, you can mark the check in attendance and then the check out attendance.

2. If the event is ongoing and the learner has marked the check in attendance, then you can mark the check out attendance while the event is still going on or has passed, i.e. the current events in which learners have marked check in, but have not checked out.

1. Access a classroom's Attendance page. Then click on Events tab.

2. All the events will be shown along with the learners' attendance that has been marked for those events. The total number of unmarked events will be shown above the learner table. Hover over the required event to view its full name and click on it to mark / edit attendance for that event.

3. The QR code symbol would be shown in front of the attendance marked by the learner. Hovering over it will show the details.

4. If you are eligible to mark attendance for a learner (see following conditions), click Edit.

As an instructor, you will be eligible to mark attendance for a learner:

1. If the event has passed and learner has not marked the attendance. You need to first mark the check in attendance and then the check out attendance.

2. If the event is ongoing and the learner has marked the check in attendance. Then, you can mark the check out attendance while the event is still going on or has passed, i.e. the current events in which learners have marked check in, but have not checked out.

5. As per availability, you can then check in and / or check out using the Check In and Check Out button.  Clicking the Check In and Check Out button will allow you to enter the time.

Check in and check out time needs to be within the event start and event end date (plus grace period, if any).

6. If required, you can edit the check in / check out time that you have updated manually.

You cannot update/edit QR code attendance marked by the learner.

7. Click Save to save the changes.

8. The attendance will be marked for the learner. Hovering over the attendance will show the details that it has been added manually by you.
