Two-factor Authentication (2FA)

Teamie supports two-factor authentication (2FA), sometimes referred to as two-step verification. 2FA is a security process in which the user needs to go through two layers of authentication instead of one. This helps in protecting the user account from any malicious activities. The first level of authentication is the username and password. The newly added second level of authentication is with the help of SMS or email sent to the user.

Setting up roles for 2FA

Any roles that are setup for 2FA will be required to go through the two level of authentication. For instance, if "learner" role is setup for 2FA, then every user with learner role would be required to login with their user name and password first and then enter the one-time pin that they receive on their mobile number that is updated on their Teamie profile. So, it is advised to have all the users of a role mobile number updated before getting that role set up for 2FA.

Role setup for 2FA will be done at our end.

Updating user mobile number

As an admin, you can update mobile number of users one by one or in bulk. Let's see how it is done:

Updating mobile number from the user profile

1. Click Sliding menu. Under Manage Teamie section, click People and then choose Manage People.

2. Search the user with the help of the filters.

3. Click Edit to view user's edit profile page.

4. You can also search a user from the global search bar and go to the edit profile page.

5. On the edit profile page of the user, scroll down to find the Mobile number field. Enter the required mobile number in "+xxyyyyyyyyy" format where "+xx" is the country code and the remaining is the mobile number. Then, click Save to save changes to the profile.

There should be no space between plus symbol(+), country code, and the phone number. Keep in mind, "+" is also mandatory.

Updating mobile number in bulk from bulk import sheet

1. Click Sliding menu. Under Manage Teamie section, click People and then choose Import People.

2. Click Download Template to download the excel template file.

3. Open the Template.

4. In the excel sheet, delete all the columns except the following three:

  1. User Username [name]
  2. User Email [mail]
  3. User Mobile number [field_2fa_mobile_number]

5. Enter the username and email of the users.

6. Right click at the top of the mobile number field column to select the entire column. Then click Format Cells.

7. Select Text to change the data type of Mobile number field from Number to Text. Otherwise, "+" will get ignored while adding the user mobile number in "+xxyyyyyyyyy" format.

There should be no space between plus symbol(+), country code, and the phone number. Keep in mind, "+" is also mandatory.

8. Enter the required mobile number in "+xxyyyyyyyyy" format where "+xx" is the country code and the remaining is the mobile number. Save the excel sheet.

9. Once you have entered the required information in the respective columns, the excel sheet is ready to be imported into Teamie. Click Choose File to select the template.

10. Select the Template and click Open.

11. Selected template will be uploaded shortly. Click Remove in case you wish to modify the template and then re-upload it.

12. Click Import The Data Set.

13. The importing process will start. Once the import process is successfully completed, you will be redirected to the Manage People page, where you can find the users whose mobile numbers you have updated.

Setting up 2FA for users

1. Click Sliding menu. Under Manage Teamie section, click People and then choose Manage People.

2. Search the user with the help of the filters.

3. You can use the Role one of.. filter to filter all the users of one or more roles at once.

4. Once you have filtered the user(s), tick the checkbox corresponding to the user(s) for whom you wish to setup 2FA. You can also tick all the filtered users at once by ticking the top left checkbox. In this case we are setting up 2FA for a user named "James Decosta".

5. Click the Operations drop down and select Setup 2FA and click Execute.

6. The setup process will be initiated and once the process completes, you will be shown a success notification.

7. Once the setup is done for a user, you will be able to see "Yes" under the 2FA column for that user on the Manage People page.

Logging in with 2FA

Prerequisite: 2FA should be setup for the user.

1. As a user for which 2FA is setup, go to the login page of your Teamie site. Enter your login credentials and click Log In.

2. You will be taken to the Two-Factor Authentication page. At the same time, you will be sent a one-time pin on your mobile number that has been updated for 2FA.

3. Enter the one-time pin sent to your device and click Verify. In case you did not receive it, you can click Resend to resend the SMS on your mobile device. If you do not have access to your phone, please contact your administrator or contact support to reset your access.

4. You will be logged in to your Teamie account. Enjoy, learn and collaborate.

Two-factor authentication using email

If you are using two-factor authentication (2FA) on Teamie, you have the option to receive the one-time pin either via SMS or email, depending on the option that you have selected for your site. In case you wish to switch from SMS to email for receiving the one-time pin on your site, kindly write to us at support@theteamie.com.

You can set up roles for 2FA and update user email similar to how it is done for SMS in the aforementioned articles.
