Checking Your Child's Attendance

You can check your child's attendance as marked by their instructors for their classrooms' calendar events. Let's see how to do it.

This article will guide you on:

Checking attendance from the calendar sidebar

1. On the homepage, click the Calendar icon.

2. Click the child's card to expand and access the All events section.

3. On each of the calendar event, you can view your child's attendance, that the instructor has marked, as per the available status on the site (Present/Absent/Tardy ). In case the attendance has not yet been marked by the instructor, then the Not Marked status will be shown for that calendar event.

Checking attendance from child's full calendar view

1. Click the child's card to access the profile overview page.

2. On the child's profile overview page, click the Calendar button to view child's full calendar.

2. On the calendar page, you will be able to view the events from all the classroom that the child is part of along with the attendance status. Hover over the status to view the attendance duration to the child for that event.

3. You can also click to expand the event in full view and then view the attendance status and duration.

Checking attendance details for a classroom's events

You can view your child's attendance details for the calendar events of a particular classroom, such as the attendance status and duration attended from the classroom's Attendance page.

1. On the profile overview page, hover over the required classroom card and click the Attendance tab to access the attendance page of your child's classroom.

On the list of classroom cards, you can also view the attendance percentage on the right end of the card, with the attendance icon and the numeric percentage. You can also tap this to access the attendance page of your child's classroom.

2. The Attendance page will show the Detail tab with the following details:

  • All the events in which attendance have been marked for your child by the instructor (you can disabled the 'Show only events with marked attendance' checkbox to view all the events including the ones in which attendance has not yet been marked)
  • Attendance percentage
  • Attendance duration
  • Total Duration of Marked Events

A donut chart will represent the status of all the calendar events along with the corresponding percentages. The number of events in which your child was present (attended completely) will be shown in the middle of the donut chart.

3. A table will also be shown for all the calendar events for that classroom. It will show the following details:

  • List of all the events
  • Date of the events
  • Duration of the events
  • Attendance status for the events
  • Duration attended by your child for the events

The aforementioned three statuses (Present/Absent/Tardy) are whitelabelled and can vary from site to site. Furthermore, additional status can also be configured at the site level. For example, 'Excused' as shown in the following screenshot.

Checking attendance summary for all your child's classrooms

1. On the homepage, click the required child's card.

2. On the overview page, click the Attendance tab.

3. You will be taken to the attendance summary page of your child. The attendance summary will be a tabular report with the list of all your child's classrooms shown for the current academic year.

The attendance summary will show both the active and archived classrooms data for the selected academic year. Although, your child's membership needs to be active for the archive classrooms in order for them to appear in the attendance summary.

If the attendance percentage is calculated based on event duration instead of event count, then the third column will be Attended Duration and the fourth column will be Total Event Duration.

4. You can use the academic year toggle to switch to the attendance summary of your child's older academic years as well.

5. You can click a classroom/module name to access the classroom's attendance view that lists all events (regardless of the academic years).

If the attendance percentage is calculated based on event duration instead of event count, then the classroom attendance view will show the Attended Duration and Total Duration of Marked Events.

Absence Reports

Absence Reports is an optional feature that allows parents to submit a form with the reason behind the absence (before or after the event). The instructor for the event's classroom will be notified about the Absence Report and based on that the attendance of the learner can be modified by the instructor, if required. Let's see how you can create report absence and view absence report of your child.

This is an optional feature that is not enabled, by default, on a site. It can be enabled on a site, on request.

Reporting your child's absence

1. You can report your child's absence by accessing the required calendar event and clicking the Report Absence button from any of the following three places:

Report Absence action will not be available if your child has already been marked as Present.

2. Once you click on the Report Absence button, a form open up with pre-filled details of the event, such as its from/to date, duration and attendance status of your child for that event.

3. Enter the reason for child's absence for the event.

4. You can also attach one or more supporting documents for the leave.

5. Click the Report Absence button. A success message will shown once the action is completed.

6. Instructors will get the bulletin board notification for the absence report.

Once you report absence for an event, then you will also be able to view its absence report from the places mentioned in point 1 (a & b).

Checking absence report for your child's classrooms

1. Click the child's card.

2. On the profile overview page, hover over the required classroom card and click the Attendance tab.

3. On the details page, click the Absence Reports tab.

4. The absence report table will show the following details:

  • Event title
  • From and to date of event
  • Duration of the event
  • Attendance of your child for the corresponding event(s)
  • Link to view the absence report submitted for corresponding event(s)
  • Date and time of the absence report.

The events will be listed chronologically, with the newest ones listed at the top.

You can click the View Report link to view absence report of the corresponding event. Furthermore, you can also click to view any attached documents in the report.

5. You can use the Attendance Status filter to quickly view the events based on their attendance status.

Checking absence report for your child across all classrooms

You can check the absence reports that you have applied for your child across all the classrooms at once place. Let's see how you can do it.

1. Click the child's card.

2. On the profile page, click the Attendance tab.

3. You will be taken to the attendance summary page. Click the Absence Reports tab.

4. The list of all the events across all your child's classroom for which you have reported absence will be shown here along with the corresponding absence report.

You can click the View Report link to view absence report of the corresponding event. Furthermore, you can also click to view any attached documents in the report.
