Checking Your Attendance

You can check your attendance that is marked by your instructors for your classrooms' calendar events. Let's see how to do it.

This article will guide you on:

Checking your attendance from the calendar sidebar

1. In your calendar sidebar, click the 'All Events' tab to view all the calendar events created for the classrooms that you are part of.

2. On each of the calendar event, you can view the attendance, that your instructor has marked for you, as per the available status on your site (Present/Absent/Tardy). In case the attendance has not yet been marked by the instructor, then the Not Marked status will be shown for that calendar event.

You can also click to open a calendar event in full view and check your attendance.

3. You can also view the duration for which your attendance was marked for an event by hovering over the attendance status.

The aforementioned three statuses (Present/Absent/Tardy) are whitelabelled and can vary from site to site. Furthermore, additional status can also be configured at the site level.

For instance, a status named 'Excused' can be configured to be shown along with the aforementioned statuses. Instructors can mark the status to represent the learner not being in the session, but with a valid reason, and therefore the attendance was not deducted.

Checking your attendance from your calendar

2. You will be able to view all the calendar events across all the classrooms that you are part of.

All the calendar events will have the attendance icon which will have color as per the following conditions:

  • Green: The calendar events in which you have already marked the attendance
  • Grey: The calendar events (in the marking period) in which you have not marked the attendance
  • Yellow: The calendar events (not in the marking period) in which you have not marked the attendance

Attendance marking period for calendar events can be configured at site level. For example, a site can be configured in such a way that the attendance can only be marked for events that are within 10 days in the past, or 5 days in the future.

3. You can click on an event to open it and view more details along with attendance status and the duration that you have been awarded for the event.

4. Similarly, you can check your attendance for a classroom's events from the classroom calendar.

Checking attendance details for a classroom

You can view your attendance details for the calendar events of a classroom, such as the attendance status and duration attended from the classroom's Attendance page.

1. On the homepage, click the required classroom's card.

2. Click the Attendance tab inside the classroom.

3. The Attendance page will show the Details tab in which the following details will be shown:

  • Number of events in which attendance have been marked for you by your instructor.
  • The duration of events that you have attended for the classroom's calendar events
  • The total duration of marked events that have been created for the classroom

A donut chart will represent the status of all your calendar events along with the corresponding percentages. The number of events in which you were present (attended completely) will be shown in the middle of the donut chart.

4. A table will also be shown for all the calendar events for that classroom. It will show the following details:

  • List of all the events
  • Date of the events
  • Duration of the events
  • Your attendance status for the events
  • Duration attended by you for the events

The aforementioned three statuses (Present/Absent/Tardy) are whitelabelled and can vary from site to site. Furthermore, additional status can also be configured at the site level. For example, 'Excused' as shown in the following screenshot.

5. By default, you will see events for which the attendance has been marked by the teacher/instructor.

6. Untick "Show only events with marked attendance" checkbox to see all events (marked and not marked events).

Checking attendance summary for all your classrooms

1. Click you profile picture and then click your name to access your profile.

You can also click the sidebar and then click on your name to access your profile page.

2. On the profile page, click the Attendance tab.

3. You will be taken to the attendance summary page. The attendance summary will be a tabular report with the list of all your classrooms shown for the current academic year.

The classrooms will be organised in alphabetical order, with the following data:

  1. Classroom (classroom name and thumbnail)
  2. Attendance Percentage
  3. Attended Duration / Events Attended
  4. Total Event Duration / Number of events

The attendance summary will show both the active and archived classrooms data for the selected academic year. Although, your membership needs to be active for the archive classrooms in order for them to appear in the attendance summary.

If the attendance percentage is calculated based on event duration instead of event count, then the third column will be Attended Duration and the fourth column will be Total Event Duration.

4. You can use the academic year toggle to switch to the attendance summary of your older academic years as well.

5. You can click a classroom/module name to access the classroom's attendance view that lists all events (regardless of the academic years).

If the attendance percentage is calculated based on event duration instead of event count, then the classroom attendance view will show the Attended Duration and Total Duration of Marked Events.

Absence Reports

Absence Reports is an optional feature that allows parents to submit a form with the reason behind the absence (before or after the event). The instructor for the event's classroom will be notified about the Absence Report and based on that the attendance of the learner can be modified by the instructor, if required. Let's see how you can view the report absence submitted by your parents for your calendar events.

Absence Reports is an optional feature that is not enabled, by default, on a site. It can be enabled on a site, on request.

Checking absence reports for events at a classroom level

1. On the homepage, click the required classroom's card.

2. Click the Attendance tab inside the classroom.

3. The Attendance page will open with the Details tab. Click the Absence Reports tab.

4. The absence report table will show the following details:

  • Event title
  • From and to date of event
  • Duration of the event
  • Your attendance for the corresponding event(s)
  • Link to view the absence report submitted for corresponding event(s)
  • Date and time of the absence report.

The events will be listed chronologically, with the newest ones listed at the top.

You can click the View Report link to view absence report of the corresponding event. Furthermore, you can also click to view any attached documents in the report.

5. You can use the Attendance Status filter to quickly view the events based on their attendance status.

Checking your absence report across all classrooms

You can check the absence reports that have been applied by your parents across all the classrooms at once place. Let's see how you can do it.

1. Access your profile by clicking your profile picture.

2. On the profile page, click the Attendance tab.

3. You will be taken to the attendance summary page. Click the Absence Reports tab.

3. The list of all the events across all your classroom for which an absence report has been submitted by your parents will be shown here along with the corresponding absence report.

You can click the View Report link to view absence report of the corresponding event. Furthermore, you can also click to view any attached documents in the report.

Checking you absence report from calendar sidebar

The calendar events for which the absence report have been submitted by your parents will have the View Absence Report icon.

1. You can view  the absence report for the required event by clicking the View Absence Report icon in the All Events section of the calendar sidebar.

You can also expand the calendar event to view the absence report.

Marking QR code attendance for calendar events

Your instructor can create calendar events with QR code setting enabled. These calendar events have Check In and Check Out QR codes which your instructor can then share with you. Scan the QR codes using the Teamie app to mark your attendance. Your attendance will be calculated as per the total attended duration for an event based on the QR code scanning.

1. Open the Teamie App.

2. Tap MORE to access the More screen.

3. Tap Scan QR Code under More Links. Your mobile device's camera scanner will open. If asked, give the relevant permission(s) to the Teamie app.

4. Scan the Check In QR code for the required calendar event for which you wish to check in.

5. Then you will see the Successfully Checked In confirmation message.

6. Similarly, to check out, tap Scan QR Code and then scan the corresponding Check Out QR code for the calendar event.

7. Then you will see the Successfully Checked Out confirmation message.

Instructors will be able to view the total attended duration based on the QR code scanning.

6. In case, your instructor has assigned a material to open after scanning the Check Out QR code, then you will be redirected to that material.

7. Based on your check in and check out times, your total attended duration (and attendance status) for an event will be shown in the Attendance tab of the corresponding classroom.

Viewing Attendance for Calendar Events with Zoom Attendance Enabled

With the Teamie - Zoom integration for calendar events, instructors can directly link online Zoom meetings to events created in their Teamie classrooms/modules. Classroom members can then join these meetings through Teamie. If the Zoom attendance feature is enabled on your Teamie site, instructors can activate Zoom Attendance when creating these calendar events. Attendance will be calculated based on the time spent in the Zoom meeting.

1. Access and join the Zoom meeting from the link in the calendar event on Teamie as discussed here.

2. Once the Zoom session is completed, your attendance will be marked based on their Zoom check in and check out, i.e, the time when you joined the Zoom meeting and when you left (or when the meeting was ended by the host).

If a learner leaves and rejoins the Zoom meeting once or more, all the duration will be added and shown as the Attended Duration. Take note that the duration spent in the waiting room, if any, will not be considered in the attended duration.

3. Based on the your attended duration, the attendance status will be shown.
